Annual Hire Renewals - 1st Sept 2021 to 31st August 2022

Dear Customer,


I hope you are keeping well and are enjoying getting your sport and fitness regime back to some kind of normal.


I am writing to all hirers to confirm the process for Seasonal and Block Booking renewals (10 weeks or more) for the next academic year (1st September 2021 to 31st August 2022).


With the Government’s COVID19 Roadmap due to move to Step 4 from Monday 21st June 2021 with the expectation of further easing of restrictions,  I’m sure we are all hoping that we’ll be relatively ’restriction free’ by 1st September 2021. 


With this in mind, from Monday 21st June to Wednesday 30th June, I will be opening up a ‘Priority Booking Window’ for all existing Hire customers to raise a Seasonal or Block Booking request via School Hire for bookings between 1st September 2021 to 31st August 2022.  


Please note, the following guidelines and priority order:

  • Priority will be given to existing Seasonal and Block Booking customers for their current slots;

  • Existing customers wishing to request additional slots will be considered;

  • New customer requests will be reviewed;

  • Some booking requests may be amended to fit around other bookings in order to fully utilise our facilities - you will be notified of this via School Hire and you will need to approve any amendment before your booking is confirmed;

  • All necessary documentation must be uploaded to your School Hire account at the time of making your booking or once your booking has been confirmed (public liability insurance, COVID19 risk assessment (if applicable) and any other relevant documentation, i.e. lifeguard qualification and monthly training updates (if you are arranging lifeguard cover for your swimming pool hire);

  • We aim to have confirmed all booking requests by Friday 2nd July 2021;

  • Any booking requests received thereafter will then be considered.   


Furthermore, whilst we have absorbed, where possible, any incremental increases to our operating and payroll costs, there is inevitably a need for us to slightly increase our prices.  Our new prices take effect from 1st September 2021 and are reflected in next year’s booking costs.  Please note, as a Trust we have not received any COVID-related grants or funding for the operation of the Sports Centre, and with reduced business levels largely due to the on-going COVID restrictions, our finances have been significantly impacted.


For Club’s, groups and organisations, please refer to the VAT exemption document (attached) to see if you are eligible for VAT exemption on your booking costs.  It is your responsibility to provide all the necessary documentation at the time of booking (whilst completing the qualifying questions on School Hire) to support your claim.

Finally, with restrictions gradually easing we are planning to remove the existing one-way system in place to allow us to re-launch a Group Exercise programme (hopefully from September), in addition to opening up slots for birthday swimming pool parties including use of the Lounge and 121 / 221 swimming lessons.  Further updates will follow to confirm these details and any other important information, and we will aim to provide as much notice as practical.  Please check out and too.


In the meantime, please continue to keep yourself and everyone safe by fully adhering to our COVID measures:

  • arriving at your designated time, beach or sports ready, 

  • wear a face mask and sanitise or wash your hands, and 

  • maintain social distancing and follow our one-way system whilst using our facilities
